Our client is seeking a dynamic and organized Administrative Assistant to provide invaluable support to their Executive Assistant and C-suite Staff. Title: Administrative Assistant
Location: Bethesda, MD
Hourly Rate: $35.00 - $40.00/hour
Job Type: Contract

  • Assist the Executive Assistant and C-suite Staff in daily administrative tasks, including managing calendars, scheduling meetings, and coordinating appointments.
  • Maintain confidentiality and exercise discretion in handling sensitive information related to the executive team and the company.
  • Prepare and edit documents, reports, presentations, and correspondence to maintain consistency and accuracy in communication.
  • Coordinate and organize travel arrangements, accommodation, and itineraries for executives as required.
  • Plan and execute meetings, conferences, and events, including booking venues, arranging catering, and managing logistics.
  • Collaborate with other administrative staff to ensure a cohesive and efficient support system for the entire organization.
  • Monitor and manage office supplies, placing orders as needed and ensuring proper inventory control.
  • Organize and maintain files, records, and databases in a systematic and accessible manner.
  • Assist in preparing and tracking budgets, expenses, and financial documentation.
  • Act as a liaison between executives and internal/external stakeholders, fostering positive and professional relationships.
  • Coordinate special projects as assigned by the Executive Assistant or C-suite Staff.
  • Demonstrate a proactive approach to problem-solving, identifying potential issues and proposing solutions.
  • Uphold a welcoming and warm demeanor, ensuring visitors, clients, and employees feel comfortable and valued.
  • Proven experience as an Administrative Assistant or similar role, preferably in an executive support capacity.
  • Exceptional interpersonal skills with a positive, upbeat, and personable attitude.
  • Excellent verbal and written communication skills, with the ability to convey information clearly and professionally.
  • Strong organizational skills and keen attention to detail, ensuring efficiency and accuracy in all tasks.
  • Proficient in using office software and applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize competing demands, maintaining composure under pressure.
