Position Summary:
The Accounts Receivable Associate is responsible for managing the invoicing and collections process for construction and non-construction projects. This role ensures timely and accurate billing, monitors aging accounts, follows up on outstanding balances, and collaborates with project managers, subcontractors, and clients to resolve billing issues. The ideal candidate has experience in the construction industry and a strong understanding of AIA billing, lien waivers, retainage, job costing, and intercompany billing processes.

Key Responsibilities:
•    Prepare and process customer invoices, including AIA progress billings, time and material (T&M) invoices, and change orders.
•    Perform and reconcile monthly intercompany billings across related entities.
•    Track contract values, billing schedules, retainage, and payments per contract terms.
•    Prepare and monitor accounts receivable reports and follow up with clients for payment collection.
•    Coordinate with project managers to ensure billing accuracy and resolve disputes.
•    Manage lien releases, preliminary notices, and related compliance documentation.
•    Record and apply incoming payments accurately to customer accounts.
•    Reconcile AR subledger to general ledger and assist with month-end close processes.
•    Maintain customer records and contract documentation in accounting software.
•    Assist with job cost tracking and reporting.
•    Support audits and reporting requirements as needed.

Qualifications:
•    1-2 years of AR experience, preferably in the construction or related industry.
•    Familiarity with construction billing formats (e.g., AIA G702/G703) and contract billing terms.
•    Experience with intercompany billing and reconciliation.
•    Understanding of lien laws, retainage, and construction compliance documentation.
•    Experience with accounting software (e.g., Viewpoint, Sage 300 CRE, Foundation, QuickBooks, or similar).
•    Proficiency in Microsoft Excel and other Microsoft Office applications.
•    Strong attention to detail, organizational skills, and the ability to manage multiple priorities.
•    Excellent written and verbal communication skills.
•    Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
•    Knowledge of job cost accounting and project financial reporting preferred.
