Administrative Analyst

Description
Looking for a detailed-oriented Administrative Analyst for our fast-paced intellectual property expert services practice. This person is responsible for detailed quality checks of financial calculations and written reports, assisting with litigation case management, client invoicing, and performing general office administration. The right candidate for this role wears many hats, possesses the flexibility to quickly switch from one task to another, is highly organized, enjoys working with numbers, produces extremely accurate work, and performs well under internal and client-mandated deadlines.

Essential Functions:
  • Financial Analysis Support
    • Audit/quality check of detailed financial calculations and written reports
  • Case Management Support
    • Responsible for calculation of invoices, creation of detailed time reports, and review of invoices to ensure accuracy of invoice amounts and presentation
    • Send invoices to clients and follow-up with collections matters
    • Manage and update docket/calendar entries for active cases
    • Produce and distribute invoice/billing reports to Managing Director
  • Office Administration
    • Manage job postings, schedule interviews for candidates during recruiting periods, and plan and coordinate group’s recruiting event schedule
    • Produce group-specific marketing material, including descriptions of services provided
    • Manage travel arrangements for Managing Director
  • Other projects, tasks, and responsibilities as assigned
Requirements
  • Must possess strong organizational skills with extraordinary attention to detail, commitment to accurate data entry, and timely follow-through of assigned tasks
  • Aptitude with financial calculations
  • Good verbal, written, and interpersonal skills
  • Proficiency in Microsoft Office, especially Excel and Outlook
  • Ability to learn other office productivity software as necessary
  • Tact and discretion to work with sensitive information and maintain strict confidentiality
  • Ability to adapt to a fast-paced environment and multi-task effectively
Education & Experience
  • Position requires a bachelor’s degree in business administration, business management, accounting, finance, or a related discipline with a GPA of 3.4 or above
  • Requires 2-4 years of experience in a professional work environment
  • Experience and/or good understanding of accounting principles and billing practices
