Join our dynamic four-person team, specializing in compliance and 401(k) administration. In this role, you'll support the billing and administration of employee benefits plans, ensuring accurate processing and repotting of large volumes of time-sensitive and confidential data. You'll be the point of contact for employee benefits inquiries, providing assistance and guidance. 

3-4 days a week in office, 1-2 days a week remote

Essential Job Functions: 
  • Administer employee benefit programs including health insurance, retirement plans, disability, and wellness programs. 
  • Maintain and update employee benefits records in HR databases and Excel spreadsheets.  
  • Support employee benefit plan administration, accurately processing and reporting large volumes of time-sensitive confidential data and information. Assist employees and union representatives with employee benefit inquiries according to company procedures.  
  • Process all monthly invoice payments, verifying the calculation of the monthly premium statements for all group insurance policies and union benefit invoices. Complete all benefits billing allocations for accounting purposes. 
  • Resolve high volume of billing inquiries/discrepancies for vendors and union representatives. 
  • Assist employees with benefits enrollment, changes, and questions. 
  • Highly responsive to support eligibility changes, benefit plan audits, open enrollments, claims processing, and other special projects. Process paperwork for new hires, terminations, and benefits changes. 
  • Make all benefit eligibility changes monthly on union benefits vendor sites to coincide with all new hires, terminations and employees who have passed their benefits waiting period. Monitor benefits payments and accounts for any discrepancies, resolving billing issues.  
  • Monitor deadlines for benefits enrollment and changes. 
  • Assist benefits team in completing reporting requirements. Verify HRIS data and information as needed. 
  • Assist in processing benefits enrollments for US, Canada, and union locations. Support benefit plan open enrollment activities as assigned. 
  • Work closely with supplemental insurance carriers and employees in the process of filing claims, collecting pertinent information as required for processing.  
  • Participate in special employee benefit plan and payroll projects as assigned.   
  • Communicate with insurance providers and vendors regarding eligibility, coverage, and claims issues. 
  • Ensure compliance with federal and state regulations (e.g., COBRA, HIPAA). 
  • Schedule and coordinate benefits orientations or open enrollment meetings. 
  • Always adheres to company standards and regulatory requirements, maintaining meticulous recordkeeping practices in real time. 
  • Perform other related duties as assigned by manager or senior leadership. 
 
 
Education & Experience: 
  • Minimum three (3) years of experience in HR or benefits administration. 
 
Knowledge, Skills, and Abilities: 
  • Must be highly responsive to build relationships with unions and pension plan representatives to accurately process billing. 
  • Proven experience working with high volume of data with accuracy, and among cross-functional teams with minimal supervision, ability to juggle multiple tasks, and effectively prioritize assigned job duties to meet deadlines and objectives. 
  • Experience with HRIS systems (e.g., SuccessFactors, ADP, Workday). 
  • Strong knowledge of benefits administration and relevant regulations. 
  • Demonstrated intermediate to advanced level proficiency in Microsoft Excel (nested complex formulas, pivot tables, VLOOKUP). 
  • Strong attention to detail and accuracy in data entry.
