Key Responsibilities
Prepare, proof, and manage loan and small-business financing documentation, including personal guarantees, rider schedules, amendments, and notices.
Coordinate document execution, version control, and closing packages; ensure clean, audit-ready records.
Conduct UCC-1 filing and search workflows; monitor expirations/continuations and handle terminations.
Maintain and improve template libraries and document checklists; use clause playbooks for speed and consistency.
Support compliance with Virginia Small Business Financing Disclosure requirements and other state disclosure laws.
Ensure appropriate ECOA/FCRA practices in collaboration with Credit and Operations.
Help maintain internal GLBA data privacy procedures and record retention controls.
Partner with collections on default files: organize case materials, demand letters, payment agreements, and settlement documentation.
Coordinate with outside counsel and track litigation milestones, rulings, and costs.
Build and maintain matter tracking dashboards; generate weekly status reports.
Own registered agent and corporate governance calendars.
Support subpoena responses and records requests.
Drive continuous improvement by documenting SOPs and automating repetitive steps.
Qualifications
Bachelor’s degree or equivalent work experience required.
Paralegal certificate from an accredited program preferred.
2–3 years of experience as a Legal Administrative Assistant or Paralegal.
Experience in legal collections preferred, but not required.
Hands-on experience with UCC-1 filings and searches, and strong document management discipline.
Familiarity with state small-business financing disclosure frameworks (Virginia preferred) and ECOA/FCRA touchpoints.
Excellent drafting, proofreading, and detail orientation.
Strong organizational skills; ability to multitask, prioritize, and adapt.
Proficiency in Microsoft Office; familiarity with Salesforce or other CRM systems desirable.
Ability to learn and manage multiple software applications.
High level of discretion and professionalism in handling sensitive information.
