Accounting & Administration Manager

Exciting opportunity to join a dynamic, mission-based arts organization!  The Accounting & Administration Manager is responsible for managing all accounting, administrative and human resources responsibilities.  Additionally, this Manager works closely with the leadership team in providing insights into financial results and assisting with ad-hoc analysis.
  • Manage all bookkeeping responsibilities related to cash management, accounts payable and accounts receivable
  • Oversee financial tracking of grant income and expenses
  • Manage and process employee expense reimbursements
  • Manage account reconciliation related to merchant account, credit cards and vendor contracts
  • Prepare quarterly board and financial reports
  • Act as primary liaison to banking partners and public accounting firm
  • Support preparation of annual financial report and tax documents
  • Process workshop fee payments and refunds
  • Provide regular financial updates to the leadership team
  • Manage all office administrative duties including updating manuals related to accounting policies and procedures, operations, and personnel policies
  • Create and manage independent contractor agreements and contracts
  • Update trackers with member/contractor information and billing information
  • Manage current insurance policies
  • Manage Human Resources activities related to recruitment, onboarding, terminations, health insurance enrollment and payroll
  • Support grant tracking and reporting (e.g. budget reports)
  • Create and send acknowledgement letters
  • Maintain and update Salesforce database and generate reports
  • Provide support in donor tracking, including major gifts recognition and track pledges
  • Bachelors degree in a business-related field
  • Experience with bookkeeping and administrative experience required
  • Experience working in non-profit organizations required
  • Excellent written and verbal communication and interpersonal skills
  • Exemplary organizational, logistics, time management, project management and coordination skills
  • Excellent analytic skills with stellar editing and proofreading skills
  • Pleasant, outgoing professional presence in telephone and face-to-face communication
  • Understanding of advanced budget concepts and processes, grant financial management, contract management
  • Advanced knowledge of QuickBooks required.
  • Proficiency using Microsoft Office (Word, Excel, PowerPoint) and both Windows and Macintosh platforms required
  • Experience with Salesforce or other CRM preferred
  • Ability to work cooperatively on a variety of projects, interacting effectively with staff and contractors, board members, funders/donors, program constituents and participants, volunteers, and the community
  • Ability to work independently and carry out assignments with accuracy and within stated timeframe
  • Curiosity and a good sense of humor
  • Strong online and database research and reporting skills
  • Experience, involvement, or interest in the arts or arts education a plus
