Administrative Assistant

Position Summary:
Exciting opportunity to join a well-established and growing mission-based organization with exceptional benefits!  This critical role will provide administrative support to the Chief Philanthropy Officer (CPO) and development team.  Responsibilities include organizing contacts, directing calls, coordinating meeting requests and schedules, and preparing correspondence.  The experienced Administrative Assistant must possess strong attention to detail and excellent organizational skills.  Additional responsibilities include event coordination and management, as requested, and managing administrative tasks related to our board of directors.
  • Manage schedules and coordinate internal and external meetings
  • Respond to meeting and information requests and prepare materials for meetings and events as required
  • Manage and update key contacts in the organization's database and CPO's files
  • Assist with hosted events
  • Prepare correspondence, assist with internal communication efforts, and handle any special projects
  • Attend meetings as requested, record and distribute meeting notes and manage required follow-up
  • File and retrieve documents and reports both in hard and soft copy
  • Establish an excellent working relationship with the Members of the Board of Directors in verbal, written, and electronic correspondence
  • Arrange travel as required, process expense reports, and prepare presentations
  • College degree required
  • 3-5 years of experience as an administrative assistant
  • Non-profit organization experience preferred
  • Excellent writing, research, and communication skills (interpersonal or presentation, or both)
  • Ability to stay organized, work independently, as well as follow directions, collaborate, coordinate, and prioritize multiple tasks, and meet deadlines consistently
  • Proficient in Windows Platform software; Salesforce experience a plus
  • Strong computer skills and proficiency in using Microsoft Office applications 
  • Demonstrated ability to be highly flexible and provide exemplary customer service to diverse audiences
  • Ability to handle confidential matters with a high level of integrity
  • Strong interpersonal skills and ability to build relationships with staff, external partners, and donors
  • Demonstrate proactive approaches to problem-solving and strong decision-making capabilities
