HR Associate

This position provides essential support to varied complex functions in the Talent and Culture department including benefits and personnel records, employment, recruiting, reporting and metrics. Interfaces with payroll. At times may provide direct support to the Chief Talent and Culture Officer or other members of the Talent and Culture Team. Incumbent works independently, receiving guidance and supervision on new assignments.

Essential Functions: 
Benefits Administration – for organization and Member Societies
  • Processes new hire benefits, enrollment, and terminations.
  • Initiates and tracks COBRA and coordinates with Lincoln on leave administration.
  • Liaises with retirees regarding post‐retirement medical plans; provides information and answers questions; data entry into Aetna for U65; spreadsheet management.
  • Answers benefit‐related questions.
  • Processes monthly vendor billing, allocating costs to appropriate Member Societies.
  • Retirement administration: TIAA loan requests
  • Assists in coordination and support of Member Society (MEWA) medical plans.
  • Supports open enrollment.
  • CheckMarket administration
  • OneCall (ACP) administration
  • Unemployment Claims

Leave Administration
  • Administers requests for FMLA, STD, LTD, forwarding and monitoring requests to Lincoln.
  • Coordinates paid and unpaid leave with payroll
  • Monitors all cases and provides regular reports

Metrics, Reporting, Personnel Files
  • Performs data entry for new hires, changes, and terminations in ADP and Aetna (AAS, AAPT, U65, COBRA), where applicable.
  • Extracts data from ADP and other sources to produce reports for the AAP, salary analysis, etc.
  • Maintains electronic personnel files and records
  • RRA (UHC) weekly claims
  • SmarTrip (process/instructions)
  • Prepares monthly benefit spreadsheets for 3 Member Societies
Recruiting and Program Coordination
  • Assists in preparation of job descriptions
  • Schedules interviews and orientation
  • Posts job openings
  • May coordinate DEI related programs

College Degree preferred

2‐4 years equivalent relevant work experience

Additional Qualifications 
Technical savvy and computer skills essential
Experience with HRIS databases, Excel, and electronic personnel files important Working knowledge of leave laws and administration of FMLA, COBRA, STD important Experienced with Teams helpful
Direct experience using ADP helpful
Must have proven ability to work with confidential information
Must have proven ability to deal effectively with staff, applicants, vendors, and the public
