Northern Virginia based construction company is seeking to hire a Full-Time Receptionist to assist in performing diversified clerical duties.

This role will be 100% administrative support. The ideal candidate with be organized, detail oriented, possess excellent customer services kills and overall enjoys the administrative challenges of supporting an office of diverse people.

Responsibilities:
  • Distribute FedEx and UPS envelopes to the correct recipient’s desk.
  • Organize the office supply closet and let Office Manager know what needs to be ordered.
  • Pick up mail from the mailbox and distribute.
    • Scan all vendor invoices in the mail and email them to Tracy daily. If no new invoices were received, email Tracy letting him know no invoices were received that day.
    • Scan all client checks daily to Viola, this applies to checks that came in the mail or were dropped off at the reception desk. Drop off original checks to Office Manager’s desk. If no new checks were received, email Viola letting her know no new checks were received that day.
    • All other mail, scan to the recipient or consult with Office Manager who should be emailed a specific letter or document.
  • DMV runs
    • Document prepared by Office Manager.
  • Follow up with jurisdictions on licenses renewals or any pending documents.
  • Rental property showings.
  • Answer incoming calls to each company’s main phone line.
  • File Mechanics Liens
  • Bulk Print for the yard.
  • Organize the kitchen and create a list of snacks to order.
  • Gather information for potential new licenses or vendors.
    • Vendor credit applications
    • License Application
  • Help Dave and Sean with miscellaneous

Requirements:
  • At minimum 2+ years in an administrative or executive assistant role supporting a corporate business
  • Computer literacy with Microsoft Office, Adobe Acrobat, Teams
  • Ability to multi-task and work in a high volume environment
  • Strong communication skills (both verbal and written)
  • At minimum High School Diploma or GED, preferred Associates or Bachelor’s degree
  • Business writing or professional writing skills is a plus
  • Previous exposure to multiple businesses under one management is a plus
