Our client is a growing firm seeking to add a new employee to their Executive Support Team. This is an exciting opportunity to join a financial services firm with a fast-paced entrepreneurial environment. The ideal candidate will have 5 or more years of experience supporting a high level executive and be accustomed to an ever evolving and busy workday.
Executive Assistant duties include:
Schedule in-person meetings, zoom/teams video meetings and otherwise manage the executive’s schedule acting as gatekeeper to protect time
Spearhead all activities related to events such as investor meetings, summits, speaking engagements and employee retreats including site selection, flights, transportation, hotel space, meals, etc.
Assist team members with new hire on-boarding and other HR-related duties as needed
Schedule internal employee staff meetings, reserve conference room space and order meals/catering as needed
Ensure that technology (zoom/teams) is functional for meetings, conference calls, and videoconferences
Prepare expense reports for Partners using Concur
Create or proof documents and marketing materials for investors
Overall office management such as supply ordering and maintaining facilities through the building’s property manager
Executive Assistant Qualifications:
5 or more years of administrative experience supporting busy executives, experience in a finance-related or professional services environment a plus
Working knowledge of MS Word, Excel, PowerPoint and Outlook is required, intermediate experience with Adobe Acrobat and Concur desired
Prior experience with office management and light HR support such as assisting with on-boarding new employees
High level of tact, diplomacy and professionalism
Experience planning client and employee appreciation events
