The Payroll Tax & Accounting Coordinator is responsible for ensuring the accurate and compliant processing of payroll taxes, managing payroll-related financial transactions, and maintaining detailed payroll records. This dual-role blends tax expertise with accounting duties, including payroll reconciliations, financial reporting, and adherence to federal, state, and local regulations.
You will be responsible for…
- Ensure accurate tax calculations and withholdings during payroll processing.
- Reconcile federal, state, and local payroll tax returns in compliance with deadlines.
- Continuously update and maintain compliance with evolving payroll tax laws and adjust tax rates in payroll systems accordingly.
- Perform reconciliation of payroll tax liabilities, ensuring accurate and timely tax deposits.
- Assist with quarterly and annual reconciliations, including preparation and filing of W-2 940 and 941 forms.
- Maintain meticulous payroll tax records and documentation, always ensuring audit-readiness.
- Support the process for new state registrations and ensure the accurate maintenance of tax rates across jurisdictions.
- Investigate, resolve, and report payroll tax discrepancies, addressing both internal and external concerns.
- Respond to inquiries from tax agencies and resolve any issues related to payroll tax filings or calculations.
- Driving deliberation and offer processes, including negotiating and closing on offers.
- Verify payroll transactions to ensure accuracy and compliance with both internal and external standards.
- Record payroll journal entries in the general ledger and ensure accurate mapping within the Payroll System.
- Reconcile payroll-related accounts, including wages, benefits, and tax liabilities, ensuring alignment with the general ledger.
- Maintain payroll system configurations across all entities, ensuring accuracy in GL mapping.

- Proficiency with G Suite
- Strong proficiency in Microsoft Excel
What skills & experience you’ll bring to us
- Proven experience in payroll processing, preferably with platforms like Namely, or other payroll management systems.
- Excellent written and verbal communication skills, with the ability to collaborate effectively across teams.
- Strong analytical skills and ability to solve complex payroll-related issues with attention to detail.
- Exceptional organizational skills, with the ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- High degree of accuracy and attention to detail, especially when dealing with financial data.
- Ability to adapt to changes in a fast-paced, dynamic work environment.
- Deep understanding of payroll tax laws, multi-state payroll processing, and tax withholding forms.
- Understanding of Generally Accepted Accounting Principles (GAAP) and their application in payroll accounting.
